To be a good fit for the Customer Service Representative, Samples opportunity, you will have:
  • An AA degree or an equivalent combination of education and experience.
  • 2-4 years of strong customer service skills, including:
    • Excellent communication skills via phone, email and face-to-face conversation.
    • Problem-solving skills and ability to use independent discretion for decision-making.
    • Professionalism and adaptability / flexibility.
    • Attention to detail and ability to retrieve information in a timely manner.
    • Excellent organizational and analytical skills.
  • Experience in JD Edwards or similar order management programs.
  • Typing skills which include 10-key experience.
  • The ability to navigate proficiently within Microsoft tools and Google Suite, e.g. Word/Docs, Excel/Sheets, Google Mail, Power Point/Slides, and Hangouts.

The Role

Reporting to the Customer Service Manager, you will divide your time between coordinating sample requests and providing general customer service. Primary responsibilities will include processing, picking, packing, shipping, and tracking of production samples. You'll keep track of the stock levels of all in-house shipment materials and notify appropriate supply chain personnel of replenishment needs.

You will work with another CSR, Samples, and rotate your schedule every three months to support work/life balance. During one three-month period, you will have Friday and Saturday off, and during the subsequent period you will have Wednesday and Sunday off. On weekdays you'll work either 7 AM to 4 PM or 8 AM to 5 PM. On weekends you will provide regular customer service support, and work a nine-hour shift between 5:30 AM and 3:30 PM.

More specifically, you will:
  • Pick, pack, label, ship, track, and communicate all production samples that leave the Irwindale facility. This includes tracking production samples shipments from all other facilities. Tracking includes following up with carriers, FEDEX and DHL on actual arrival.
  • Track and maintain shipment material in house and notify appropriate supply chain personnel of replenishment.
  • Process orders, maintaining a high accuracy level in regards to data entry, timely responsiveness and communication of any kind. Includes organization of documentation: filing, purging, and focus meeting update folders.
  • Troubleshoot issues such as delayed trucks, loading and arrival, pending receipt of orders, pricing discrepancies, rejections, delivery discrepancies, and operational delays.
  • Communicate on any problems and the resolutions to keep all stakeholders informed of activities, concerns, or problems. Includes filing claims with sample courier.
  • Maintain broad knowledge of company/customer products, customer complexity and promotions.
  • Participate in daily/weekly/monthly meetings.
  • Assume responsibility for the execution of allocations as assigned on an as-needed basis. You'll be directly accountable for special projects assigned by manager/team lead as they correlate to career development.
  • Perform other related duties as assigned.
